Setting Up Your Team

OOO works best when it's introduced with intention — not dropped into Slack and forgotten.

OOO Tip: Teams with a clear internal owner activate 3–4x faster than teams where "everyone has access" from day one.

Start with one owner

Before inviting your full team, identify one person to own the rollout. This person typically leads new business, ops, or production, becomes the internal point person for questions, and decides when and how the tool gets used across the team.

Invite your core team first — not everyone

Start with 2–5 people: a mix of strategy, production, and creative who actively pitch or scope work. This lets the group learn together, establish norms, and pressure-test outputs before a broader rollout.

To invite teammates: Settings → Team → Invite

A simple rollout progression

Phase 1 — Explore

Run 1–2 Event Studio projects using real briefs. Review outputs together — what's useful, what needs editing. Don't judge the tool on fake tests.

Phase 2 — Align

Decide where OOO fits in your workflow (pitching, staffing, estimating, or all of it). Customize settings and align on how outputs get shared internally or with clients.

Phase 3 — Expand

Invite additional team members. Add preferred freelancers and vendors. Start using OOO as a system, not just a one-off tool.

Roles and permissions

Owners / Admins — manage settings, branding, and access. Managers — run projects and invite collaborators. Members — contribute to projects without admin control. Roles can be changed anytime.

Set expectations early

OOO is designed to be intuitive, but it does represent a shift from traditional agency workflows. Communicate this internally: outputs are starting points, not finished deliverables; strategy and creative are meant to be edited and debated; the goal is speed and clarity — not replacing human judgment.

Teams that treat Event Studio like a collaborative whiteboard get the most value.
