This covers the operational foundations that keep your workspace clean and easy to scale. You don't need to set everything up on day one — but it's worth knowing what's available as your team grows.

Standard documents and onboarding

You can upload standard documents that freelancers review or sign during onboarding. Best for documents that don't require negotiation or redlines and apply universally across all engagements.

Common examples: NDAs, MSAs, code of conduct or operating guidelines.

Once uploaded, these are automatically included in every freelancer's onboarding — no manual management per project.

OOO Tip: If a document often requires edits or negotiation, handle it directly between parties outside the platform.

Identity verification and payments

When payments are enabled, OOO handles: freelancer identity verification, bank and payout setup via Stripe Connect, and invoicing and secure transactions.

This lets you pay freelancers without collecting sensitive information yourself, and keeps everything tied to the project. Using on-platform payments is optional — but setup happens automatically so it's ready when you need it.

Roles and permissions: two layers

Organization level (Settings → Team): invite or remove team members, assign roles and permissions, control admin access.

Project level (inside any Event Studio project): the project creator controls access, collaborators can be invited per project, permissions can be set to view-only, edit, or section-specific.

Project-level permissions make it easy to bring freelancers or clients into a project without giving them full platform access.

Editing, archiving, and cleanup

All projects and opportunities can be edited, archived, or permanently deleted. Archiving is usually the better option — it keeps your workspace tidy while preserving historical context that improves AI recommendations over time.

Managing freelancers in your roster

If someone is no longer a fit: remove them from your roster, leave internal notes in their activity feed (visible to your team and the AI, never to the freelancer), or apply custom tags to flag context for future projects. Internal notes improve future recommendations — they're private.
